Data and purposes.
Site visitsThe hosting provider may process IP address, request details, device information, and security logs to deliver and protect the site.
AnalyticsOptional browser analytics, tracking pixels, external embeds, and other third-party browser tracking are intended to remain disabled at launch. The launch source contains no browser-analytics loader and sets no analytics cookies. The deployed site and Cloudflare Web Analytics setting must be verified before publication.
Email enquiriesThe contact, demo, and support forms prepare an email in your own email application. The website does not transmit or store the message. If you send it, PB systems ApS receives the information you choose to include.
Enquiry dataThe prepared email may contain your name, company, work email, optional phone number, message, and ordinary email metadata such as sender, recipient, subject, and time.
Providing dataUsing the public contact routes is voluntary. Name, company, and work email are required only to prepare the standard email draft; phone and message are optional. Without the required fields, the site cannot prepare that draft, but you can email the published address directly.
PurposesDeliver and secure the site, answer enquiries, arrange demonstrations, and provide support.
Proposed legal basesDraft for legal review: legitimate interests may support delivery and protection of the public site and responses to ordinary business enquiries. The purpose-by-purpose assessment for sales, pre-contractual requests, existing-customer support, and any contract-related correspondence must be confirmed against the final operation.
Automated decisionsPB systems ApS does not use public-site enquiry data for automated decision-making or profiling.
Recipients and transfers
Who may process the data.
Website deliveryCloudflare Pages, a service provided by Cloudflare, Inc., is selected for production hosting and content delivery. Cloudflare can process IP addresses, request details, device or browser information, and network or security data to serve, cache, and protect the site. The live project, account agreement, settings, and domain connection must still be verified before publication.
Analytics providersNo separate browser-analytics provider receives beacon data while optional analytics remains disabled. Cloudflare still processes edge request and network or security data as described above. Any future browser-analytics activation requires a documented review and an updated policy before activation.
EmailMessages are processed by the sender’s email provider and PB systems ApS’s Google Workspace service. PB systems ApS has confirmed a business Workspace account and acceptance of Google’s applicable data-processing terms. Do not send tender documents, passwords, or sensitive project data through the public contact routes.
International transfersCloudflare and Google use global infrastructure and may process data outside the EEA. Their current data-processing terms provide transfer mechanisms, including the EU Standard Contractual Clauses where applicable. The live Cloudflare account agreement, both providers’ relevant settings, applicable subprocessors, and the transfer record must still be verified before publication.
Customer productThis policy covers the public information site. Customer accounts, tender documents, and the ProjectBook application require separate contractual and data-processing information.
Retention and rights
How long data is kept and what you can request.
Website formsNo form submission is stored by this website.
Hosting logsPB systems ApS does not intend to enable optional Cloudflare Web Analytics, Logpush, Cloudflare Logpull HTTP-request retention, or Log Explorer for launch. These are customer-accessible features; Cloudflare may still process provider-side operational, edge, network, or security data. The live account and zone settings, available logs, access permissions, and provider-side retention must be verified before publication.
EmailDemo and contact enquiries are deleted no later than 12 months after the last meaningful contact. Support enquiries are retained while the issue is open and for no longer than 12 months after the last meaningful support contact. If an enquiry becomes part of a customer agreement, it is retained while needed to administer that agreement and is then deleted, unless a longer period is required by law or needed for a legal claim. Information required by law is retained for the legally required period. Dispute material is retained only while needed to establish, exercise, or defend a legal claim and is then deleted.
Your rightsDepending on the circumstances, you may request access, correction, deletion, restriction, objection, or portability. Ulrich Lindman is the primary owner for requests and Jakob Ø. Madsen is the backup. Contact ul@projectbook.ai or jm@projectbook.ai. Requests are handled without undue delay and in any event within one month. Where necessary because of the complexity or number of requests, this period may be extended by up to two further months. You will be informed within the first month and given the reason for the extension. Identity may be verified before a request is fulfilled.
ComplaintYou may complain to Datatilsynet in Denmark or the competent supervisory authority where you live or work.
